We collect only what the pilot needs.

This page explains what registration and session information we collect, how we use it, and how to contact us about your data.

What we collect

For registration, we ask for your name, email, confirmation that you are 18+, London borough or London connection, preferred language, what draws you to the group, what you hope to get from attending, agreement to the group rules and boundaries, and consent to be contacted about the group. Optional fields include phone number, access needs (including any valid reason you may not be able to use a webcam), and emergency contact.

What we do not ask for

We do not ask for diagnosis, immigration status, detailed trauma history, nationality, financial details, or long personal histories in the pilot sign-up form.

How we use information

We use registration information to review suitability, contact you about sessions, support access needs, keep the group safer, and evaluate the pilot using anonymised or aggregated learning where possible.

Website hosting

The website may be hosted through Cloudflare Pages. Like most website hosts, Cloudflare may process basic technical information such as IP addresses, browser/device information, request logs, and security events to deliver the site and protect it from abuse. Registration and feedback information are collected through Google Forms/Sheets, not through the public website itself.

Emergency contact

We only use emergency contact details if facilitators believe there is a serious and immediate safety or safeguarding concern, or where we need to act to protect someone from serious harm. We may still contact emergency services or safeguarding services first where that is the safest or most appropriate action.

Recording and AI

Sessions are not recorded or automatically transcribed. Identifiable participant stories, notes, messages, or case details must not be entered into AI tools without explicit, informed, written consent.

Retention

Suggested working retention: basic pilot sign-up and attendance data for 12 months, then review. Safeguarding records need a separate retention approach reviewed by safeguarding and data protection advisers.

Your rights

You may have rights to access, correct, delete, restrict, or object to use of your personal data. Some rights may be limited where safeguarding, legal obligations, or the rights of others apply.

Deletion requests

To ask about access, correction, or deletion, contact contact@connection-london.org. Safeguarding records may need separate review before deletion.
