What we collect
Our one-time registration asks for your preferred name, email, confirmation that you are 18+, London borough or London connection, one brief answer about what you hope for from the group, and agreement to the group rules and boundaries, including contact about your registration and sessions. Access needs are optional: you can mention language support or a reason you may not be able to use a webcam without giving medical details.
Earlier registrations may include a surname, preferred language, reason for joining, optional phone number or optional emergency contact. Those existing records remain restricted to the founders and follow the same retention rules; you do not need to register again.
While the form is being updated for January, you can email your preferred name and interest. We keep only the details needed to reply and explain the registration step. No phone number or website account is needed. An email enquiry is not a completed first-time registration or a confirmed place.
January recruitment and contact
We use your existing registration if you have already registered and email to express January interest. We may record January interest, review status, whether contact is working, contact dates, availability, your reply to exact-date reconfirmation, place or reserve status and the next administrative action. A past registration or Meetup RSVP is not treated as January agreement or a reserved place.
We send bounded recruitment updates by email roughly every three weeks and before the start, plus relevant confirmed-session details and reminders. Reply to any message or email contact@connection-london.org to stop January contact or withdraw interest. This is not a general newsletter or ongoing personal support. Stopping updates does not automatically delete records; you can also request deletion below.
Any preparation or personal reflections stay private with you; we do not require submission or keep a personal goal diary. Please share only what helps you participate, without sensitive histories.
Optional future WhatsApp reminders
Private WhatsApp reminders are not operating yet. You can email to express interest without sending a phone number. Before any future opt-in or number collection, we will explain the service and how the number would be used. We will not reuse a legacy phone number without your current choice, add you to a WhatsApp group or require WhatsApp to participate.
Meetup
Meetup processes its own membership and RSVP information under its own privacy notice. We may use an RSVP and display name to organise attendance, but neither replaces January interest, review or exact-date reconfirmation. You can express cohort interest without a session offer or event RSVP; general membership does not require registration. Send personal information through the updated form or private email rather than public Meetup comments.
What we do not ask for
We do not ask for diagnosis, immigration status, detailed trauma history, nationality, financial details, or long personal histories in the pilot sign-up form.
How we use information
We use registration information to review suitability, contact you about January recruitment and sessions, support access needs, keep the group safer, and evaluate the pilot using anonymised or aggregated learning where possible.
Website hosting
The website may be hosted through Cloudflare Pages. Like most website hosts, Cloudflare may process basic technical information such as IP addresses, browser/device information, request logs, and security events to deliver the site and protect it from abuse. Registration and feedback information are collected through Google Forms/Sheets, not through the public website itself.
Emergency contact
The shorter registration does not ask for an emergency contact. If you previously provided one, we only use those details if facilitators believe there is a serious and immediate safety or safeguarding concern, or where we need to act to protect someone from serious harm. We may still contact emergency services or safeguarding services first where that is the safest or most appropriate action.
Recording and AI
Sessions are not recorded or automatically transcribed. Identifiable participant stories, notes, messages, or case details must not be entered into AI tools without explicit, informed, written consent.
Retention
Working retention: basic pilot sign-up, January administration and attendance data for 12 months, then review; enquiries that do not lead to participation for six months unless needed; access needs deleted when no longer needed. Existing restricted records and private migration backups follow the same review and deletion rules. Safeguarding records need a separate retention approach reviewed by safeguarding and data protection advisers.
Your rights
You may have rights to access, correct, delete, restrict, or object to use of your personal data. Some rights may be limited where safeguarding, legal obligations, or the rights of others apply.
Deletion requests
To ask about access, correction, or deletion, contact contact@connection-london.org. We check relevant Google Forms responses, linked Sheets, administration records and private migration backups when handling a deletion request. Safeguarding records may need separate review before deletion.
